Job Description Summary

Program and Operations support staff ensure smooth delivery of projects and programs, both internally and externally; while adhering to program, practice and operations guidelines. Program and Operations support staff roles often encompass multiple areas including; data management, metrics and reporting, team facilitation and coordination, and process definition and improvement. Breadth of scope ranges from supporting individual programs, project or processes at the lower levels, to supporting entire functions (practices, business development, etc.) or the company at the higher levels. These roles tend to be more internal-facing than client-facing, although people in operations roles will often have direct client, customer or trade ally communication and contact.

Key Responsibilities:

- 65%: Data entry of customer, contractor, and incentive information into program database. Scheduling for Technicians, Auditors, Account Managers and Program/Operations staff. Tracking and verifying program paperwork, files and correspondence. Payment processing.
- 5%: Exporting predesigned reports
- 20%: Staff meetings and other program support
- 10%: Special projects
 

Additional Job Description

Primary Purpose of this Position:

Provide administrative and customer support to the delivery of an Energy Efficient Products Program. Respond to customers inquiries and help resolve issues with application submittals. 


Responsibilities:

  • Record, review and track rebate applications submitted by customers for completeness, accuracy and program incentive eligibility.
  • Assist in the resolution of customer issues.  Document calls and customer issues in program database.  Follow-up with customers to secure necessary documentation.
  • Work with Customer Call Center to answer customer inquiries.
  • Assist in monthly invoicing process by entering and verifying data.
  • Assist with special projects as needed.


Qualifications:

  • HS Diploma or equivalent education required, some college preferred
  • Previous administrative experience in an office environment preferred.
  • Strong oral and written communication skills preferred.
  • Demonstrated interpersonal skills and ability to work effectively within a team
  • Detail oriented and ability to balance multiple tasks and meet deadlines
  • Computer proficiency, experience with Windows-based office applications required; in particular, good Excel skills required.  Previous database experience preferred.
